Application process:
Rental requests will be scheduled once the written application has been received with all required fees and confirmed by the Gallery staff contacts [listed at the end of this document]. Please review the rates and additional fees to make sure you are covering all that your event requires.

Payment process:

• A reservation check of 10% of the rental fee must be remitted at the time of booking to hold that date/time of your event. 
• The full balance of the rental fee and any overtime fees must be received by the Gallery no later than sixty (60) days prior to the event.
• A security deposit of $500.00 must be given to the Bryan Gallery upon booking.
• This deposit against potential damage will be held in escrow until completion of the event. The deposit will be returned to you after the event provided that all regulations for use of the Gallery have been observed, and that there has been no damage to the Bryan Gallery or the Bryan Fine Art Gallery, its furnishings or its grounds.

Included in price:

• A Gallery staff member to ensure your event runs smoothly. 
• Use of projector, screen, Wi-Fi, and sound system in both locations. 
• Access to our galleries during your event.

Not included in price:

• Bar service. You may bring in any bar service you choose, however, they are required to provide us with a state liquor permit ahead of time as well as have one displayed during the event.  
• Food. You are responsible for hiring your own caterer.
• Rental of additional chairs
• Setup or breakdown by Gallery staff
• Fees charged by any other vendors such as photographers, musicians, florists, etc.  

Additional fees: 

• Use of Bryan Gallery furniture:
  In Jeffersonville: 70 Metal folding chairs: $3.00 per chair
  In Jeffersonville: 6, 6-foot folding tables: $25 per table
• Use of the Gallery’s kitchen and appliances. [Note: We do not have a dishwasher.] 
  In Jeffersonville: $100.00 flat rate in addition to rental fee.
  The kitchen must be cleaned after use.
• *There is no kitchen in the Stowe location
• Steinway Baby Grand Piano:
• In Jeffersonville: $150 fee for tuning prior to use.

Additional information & reminders:

• The Bryan Gallery contacts [listed below] act as the point of contact for all venue-related arrangements for your event. 
• When planning your rental, please accommodate for setup and breakdown time. Most events require at least one hour of setup and an hour of post-event cleanup.
• Please discuss arrival time with your caterer and any other vendor, as your rental must accommodate for the time they need.  
• Spaces cannot be rented for non-consecutive hours.  
• As a contemporary art space, art will be hanging on the walls at all times. Please make sure your event does not impede the artwork in any way. We welcome your guests to enjoy our exhibitions during their visit to the Gallery.
• Any rental involving over 75 people or with food, alcohol or production elements must provide a Certificate of Insurance that meets the following requirements:  

Commercial General Liability: $1,000,000 each occurrence/$2,000,000 aggregate.  Property Damage: $1,000,000 each occurrence/$2,000,000 aggregate.   
Workers Compensation and Employer’s Liability Insurance (if applicable)   
Certificate must name the Town of Cambridge as additionally insured 
The certificate must note the date of the event and the location (i.e. Bryan Gallery, 180 Main Street) 
Anyone can obtain a Certificate of Insurance by purchasing event insurance, available online.
